Job Title: Outbound Shipping & Material Coordinator

Company Overview:

As we expand our operations, we seek a dynamic and experienced Outbound Shipping & Material Coordinator to join our Grid Components team.

Position Summary:

An "Outbound Shipping & Material Coordinator" is responsible for managing the entire process of shipping finished goods, including coordinating the picking, packing, and delivery of products to customers, while also ensuring accurate inventory levels and proper material handling procedures are followed throughout the outbound logistics process. He/she is also responsible for ensuring the smooth flow of materials and components to the assembly line by managing inventory levels, coordinating deliveries with distribution center (DC), and distributing parts to workstations with the help of union employees, all while maintaining accuracy and adherence to production schedules to support efficient assembly processes. 

This position will report to the Operations Manager of – Power Quality Products.

Key responsibilities:

  • Loading and unloading trucks:

With the help of union employee efficiently load and unload shipments onto delivery trucks following the safety protocol.

  • Inventory management:

Maintaining accurate inventory levels by updating stock records and reporting discrepancies on the assembly lines and production warehouse. Work with distribution center to maintain the inventory needed to fulfill the production schedule.   

  • Production Planning and Scheduling:

Collaborate with production planners to forecast material requirements based on production forecasts. Analyze production schedules to identify potential material bottlenecks and propose solutions. 

  • Material Distribution:

With the help of union employees Organize and distribute materials to assembly stations according to production schedules. Ensure correct parts are delivered to the right workstations based on the bill of materials. Coordinate with production supervisors to address any material discrepancies or shortages on the line. 

  • Packaging and Labeling:

Overseeing the proper packaging of goods according to shipping specifications, including labeling with accurate addresses and barcodes. 

  • Shipping carrier coordination:

Scheduling shipments with carriers and tracking delivery status. Share proof of deliverys (POD’s) with the Order Managers / Project Managers for the monthly invoicing.

  • Compliance with regulations:

Adhering to safety protocols and shipping regulations. Ensuring adherence to shipping regulations, including proper labeling and documentation for dangerous goods (medium and high voltage capacitors due to oil filled). 

  • Freight Negotiation:

Working in close collaboration with the inbound logistic coordinator and the HUB logistic team to negotiate shipping rates and optimize transportation costs. 

  • Data Entry and Reporting:

Maintaining accurate shipping records and generating reports on key performance indicators (KPIs) like on-time delivery and shipping costs. 

Qualifications & Required Skills:

  • Bachelor’s degree.
  • 4+ years of experience in shipping, logistics, supply chain, or a related field, preferably within the manufacturing industry
  • Understanding of warehouse operations, shipping procedures, and transportation logistics. 
  • Experience in working with the union employee environment.  
  • Expertise in warehouse management systems (WMS) and other relevant ERP software for order processing and reporting. Knowledge of SAP S4 HANA will be required.
  • Excellent verbal and written communication to interact with customers, carriers, and internal teams. 
  • Strong analytical and problem-solving skills to identify and resolve shipping issues efficiently. 
  • Ensuring accuracy in all shipping documents and product details. 
  • Strong understanding of manufacturing processes and assembly procedures. 
  • Excellent communication and collaboration skills to interact with production teams, suppliers, and other departments. 
  • Analytical skills to identify trends, analyze data, and make informed decisions regarding material management. 
  • Proficient in Microsoft Excel and other office applications.
  • Detail-oriented with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication and interpersonal skills to collaborate with cross-functional teams.
